Job Description
A Secretary to the Managing Director (MD) provides essential administrative and clerical support to the MD, ensuring the smooth operation of the office and facilitating efficient communication and workflow. This role is crucial for enabling the MD to focus on strategic decision-making and other high-level responsibilities.
Key responsibilities include:
Calendar and Schedule Management: Managing the MD’s calendar, scheduling appointments, meetings, and travel arrangements.
Communication Management: Handling correspondence, emails, and phone calls, prioritizing and responding appropriately.
Document Preparation: Drafting letters, reports, and presentations, and ensuring accuracy and clarity.
Meeting Coordination: Organizing meetings, preparing agendas, taking minutes, and ensuring smooth execution.
Event Planning: Assisting with the planning and coordination of events, both internal and external.
Confidentiality and Discretion: Handling sensitive information with utmost discretion and professionalism.
Stakeholder Liaison: Interacting with internal and external stakeholders on behalf of the MD.
Office Management: Ensuring efficient operation of the MD’s office, including managing supplies and resources.
Project Support: Assisting with project coordination and ensuring timely completion of tasks.
Report Preparation: Compiling data, conducting research, and preparing reports for the MD.
